Managing Contract Vehicle Q&A

Please follow these instructions about using the Questions and Answers feature in Symphony.

1. Go to Q&A

Start on the Solicitations tab from the Dashboard and use the Q&A button to manage inquiries.

2. Answer Questions

Program Officials can use Q&A to create, answer, review, reject, route, and publish questions to Industry. Follow the left menu from top to bottom to complete the inquiry process (see Figure 1)

The main steps are the following.

  1. Answer open questions.
  2. Review draft responses and mark them for release.
  3. Confirm questions are ready for release.
  4. Release questions and answers.


Organizations that have asked questions will see the answers to their questions in their view in Symphony after users click Release.
  • In Symphony Performer, the file is placed in the Documents tab. 
  • In Symphony Audition, Program Officials will need to post the file to SAM.

Create a Question
Create questions that need to be answered. 
  1. In the Question entry field, users will enter a reference term as applicable, and then enter a question. 
  2. As each question is completed, Save and Add to place the inquiry in the Unsubmitted Questions list. Users can also edit or clear their work as needed. 
  3. Submit for review. The question will be added to the Open Questions screen after submitting it.

Open Questions
Open questions have not been answered. All questions submitted will be displayed here. Users can filter questions by any of the text in the fields or by tags that have been created by their team. 
  1. Click on a question to choose a response, enter or add a tag, use a previously answered question, or enter an answer. 
  2. Save the work.

Draft Responses
Draft responses have been answered but have not been released for approval. Program Officials can direct other users to focus on certain tags after they have been categorized and generate a draft for offline review.  
  1. When users need to edit an answer, click on a question to enter the final response, create or add a new tag, or use a previously answered but editable question. 
  2. Save when complete. 
  3. When users are ready to have the Q&A reviewed, download the file.
    Users can then edit the questions again after receiving feedback.  
  4. Use the select box to mark questions as Ready for Release with Approval after finalizing the answers.

Ready for Release
One more option for review. These questions have been answered and are ready to be released. 
  1. Click on a question if more changes are needed or use the select box to mark questions for release.
  2. Release the responses.

Released Questions
These questions have been answered and released. 
  1. Use the Download button to retrieve a PDF or CSV file for review or posting. The PDF has been formatted for use as a final Q&A document. Questions can be answered in batches and the new answers will be appended to the file upon release.  

Rejected Questions
These questions have been rejected.
  
Helpdesk Questions
These are technical questions flagged for forwarding to the Apex Logic help desk. 
They are not sent automatically.
